PS Private Hire Executive Chauffeur is a licensed professional chauffeur service operating across Essex, London and the wider UK. With bookings being managed through Setmore, there was an opportunity to create a more consistent customer experience while reducing the time spent manually sending routine messages.
We developed a series of automated workflows using Zapier, Setmore and Twilio, allowing key SMS communications to be triggered automatically at different stages of the booking journey.
Here are some of the aims that we had for this automation project:
Send customers an instant SMS confirmation once a booking is created.
Automatically remind passengers ahead of their scheduled journey.
Trigger post-booking review messages without manual follow-up.
Remove the need to manually send routine SMS messages for every booking.
We built a series of automated workflows connecting Setmore with Twilio through Zapier, using appointment data to trigger the correct SMS message at the right stage of each booking.
When a new booking is created in Setmore, Zapier automatically processes the appointment details and sends a personalised confirmation through Twilio. Additional workflows then handle scheduled booking reminders and post-journey review requests, creating a consistent communication journey without requiring manual input from the PS Private Hire team.
The workflows were designed to operate quietly in the background, allowing the business to continue managing bookings through its existing system while Zapier handles the repetitive communication around them.
PS Private Hire now has a more connected booking and communication process, with key customer messages triggered automatically from information already being managed within Setmore.
The automation also provides a scalable foundation for future workflows. Additional SMS messages, internal notifications or booking-related processes can be introduced as the business grows without requiring a complete change to the existing booking system.
